The Operations Manager will manage the office operations, actively participate in sustaining the healthy and active team culture and work environment, actively support the hiring process, support various daily and weekly operational tasks and projects for both internal and external-facing relationships.

Job Duties

Office Administration:

  • Customer service including:
  • Greets visitors, answers incoming calls, handles incoming and outgoing mail.
  • Responsible for general email inbox/inquiries to ensure timely responses and follow up by appropriate staff, as needed.
  • Supports the Director of Finance & Operations with operationalizing internal meetings to include: scheduling, creating agendas, and minute taking.
  • Support various departments in data entry in Salesforce database.
  • Manages the internal global office calendar.

Office Facilities:

  • Manage the maintenance of the physical facilities and related third party vendors: landlord & parking, janitorial and maintenance.
  • Maintain an orderly and professional office environment that is welcoming and highly functional.
  • Office &  kitchen supplies are maintained at proper levels and inventory maintained.

Human Resources:

  • Coordinate the hiring process including job postings, screening of resumes, organizing candidate interviews, and new hire on-boarding.
  • Focus efforts to ensure diversity of job candidates to continually strengthen the skills and perspective that help make  Mind & Life an organization that lives its inclusion value.
  • Manage the student internship program.
  • Act as a key participant in the office “Culture Crew” to create and promote an office culture that supports a positive team environment.  Collegial, reflective, and respectful – imbued with a sense of fun and camaraderie.
  • In coordination with the Director of Finance & Operations manage the annual employee benefits renewal process and performance review process.

Skills Required

  • 2-year Associate’s Degree or higher or equivalent education and experience
  • Two or more years previous on-the-job experience at an operations/office management level.
  • Advanced proficiency with Microsoft Office and Google Drive required.
  • Bring a customer service mindset to both internal and external relationships, building and nurturing rapport and trust, and placing high value on relational skills.
  • Able to think quickly and effectively manage day-to-day projects and tasks; prioritize assignments. A successful track record in setting priorities with organization and problem solving skills that enable sound decision-making.
  • A self-starter able to operate both independently and collaboratively, balancing independent judgement and decision making with seeking clarification, collaboration and following existing processes when needed and available.
  • Embodies personal qualities of integrity and credibility. Maintains confidentiality.

Work Schedule

Monday – Friday 8:30 – 5:00 pm EST

We are primarily on a fully remote schedule due to the pandemic.  There are occasions for this position to be in the office for certain administrative needs during this time.
