Description

Reporting to the Executive Director, Common Ground’s Operations Coordinator provides excellence in all aspects of the client’s visit to Common Ground and ensures the efficient flow of information throughout the organization. This broad area of focus encompasses direct and indirect client interaction, as well as, technical, and administrative services that support the achievement of Common Ground’s mission.

Job Duties

  • Supervise, hire and train Front Desk Staff
  • Maintain current and thorough knowledge of Common Ground’s programming, and healing arts practitioners, so as to be a source of information for prospective clientele
  • Provide enthusiastic and proactive customer service to clientele and practitioners
  • Answer phones; schedule appointments
  • Maintain client records
  • Make timely and accurate schedule, practitioner info and programming updates to Mindbody (our client database and scheduling software) and organization’s website as needed
  • Schedule practitioners for services for offsite programming
  • Maintain inventory; order supplies and materials to support office and program activities
  • Generate and mail donor acknowledgments & maintain donor database
  • Process payroll reports for staff and Practitioners for bookkeeper
  • Invoice corporate clients and third party payers
  • Oversee phone and computer systems; address technical difficulties as needed
  • Support administrative activities as requested by Executive Director
  • Prioritize one’s own health, wellness, and life balance in order to be the strongest team member possible and to serve as a source of light and inspiration in our community
