Description

The Operations Manager is responsible for all aspects of Loaves & Fishes’ procurement and distribution of food, including pickup, receipt, storage, and distribution of food to community members in need. Trains and manages staff and volunteers to ensure that daily client needs are met. Embraces Loaves & Fishes’ core value to serve those in need with kindness and compassion.

Job Duties

Essential Duties and Responsibilities:

Manage all aspects of food inventory procurement, controls, and distribution.

  • Maintain adequate food supply to provide the best quality food for ~4,000 people/month within budget:
    • Order and receive food and validate invoices from food bank
    • Pickup, receive, and record food donations
    • Stock warehouse and ensure all food is sorted and stored in a safe and sanitary manner
    • Inventory food quarterly and provide required food bank reports.
  • Work with area grocery stores to increase food pick-ups from stores using the pantry box truck.
  • Utilize FIFO (first in, first out) inventory practices to ensure food quality and minimize waste.
  • Organize and oversee food distribution process with help of other warehouse staff and volunteers.
  • Orient volunteers to food available and tasks to be done to prepare for food distributions.
  • Manage client parking and entry/exit from pantry with the help of other warehouse staff and volunteers.
  • Organize packing for monthly home deliveries and weekly school backpack program.
  • Implement food pantry safety policies and procedures as enforced by the Blue Ridge Area Food Bank, Virginia Department of Agriculture, and USDA.

Personnel Supervision

  • Hire, train, motivate, supervise, and evaluate paid warehouse staff.
  • Schedule warehouse staff to ensure consistent, adequate support for operations.
  • Develop volunteer opportunities for special needs volunteers. Oversee volunteer activities in coordination with Supervisor of Volunteer Resources.

Facilities Management

  • Maintain a clean, well-ordered warehouse and property.
  • Perform minor facility maintenance.
  • Operate electric forklift and 24’ box truck.
  • Ensure all equipment – forklift, truck, refrigerator, freezers, pallet jacks, baler – and facility stay in good working order; schedule maintenance/repairs as needed.

Assist Executive Director with year-end budget process for warehouse staff, warehouse equipment, and other areas of operations.

Skills Required

QUALIFICATIONS

  • 5+ Years Supervisory and Operations experience required (warehouse preferred).
  • Strong communication and leadership skills – position requires ability to interact and communicate with staff, volunteers, and community (pantry clients and donors). Training in de-escalation techniques desired (will provide training).
  • Knowledge of warehouse safety, storage practices, and inventory management required.
  • Valid Driver’s License and clean driving record required.
  • Working knowledge of MS Excel and Word.
  • Strong organization and time management skills required.
  • Able to work as a collaborative team member in delivering customer service.
  • Certified in food handling safety standards desired (will provide training if needed).
  • Must to able to safely operate forklift and 24’ box truck.

This position requires walking, standing, sitting and lifting boxes up to 40 lbs., and the ability to work a flexible schedule including evenings and weekends.

Work Schedule

Flexible work schedule coordinated with other warehouse staff to ensure adequate coverage for each food distribution (Tuesdays & Thursdays 6:30-8:30 pm; Wednesdays 2:00-4:00 pm, Saturdays 10:00 am – 12:00 pm).
