Job Duties

The Center for Nonprofit Excellence is looking for a full-time Administrative Coordinator to join what will become a seven-person team in our Charlottesville office.

The Coordinator is the core support role for all events and activities at CNE. They are a public-facing professional who is invested in the nonprofit community, who has strong communication skills, work ethic, and can-do attitude. The Coordinator is both excited to be stretched with new tasks and challenges, while maintaining a philosophy that all tasks are important to be done well, no matter how seemingly small.

The Coordinator supports all staff at CNE and will report to the Director of Philanthropy. Specific tasks will vary greatly throughout the year and as special projects evolve or develop.

The Administrative Coordinator will effectively serve as a concierge for the organization. To that end, they will: 
• Greet guests as they come to CNE at the front desk (a regular Monday through Friday schedule is therefore required) and answer the general reception phone line. 
• Prepare space and materials for frequent workshops and trainings at CNE.
• Assist visitors in using the Resource Center, including the Foundation Center. 
• Garner a working understanding of the most frequently asked questions and the tools and resources available to answer them. When a caller or visitor needs additional services, guide the introduction to appropriate staff either on-site that day or through email introductions and meeting scheduling. 
• Manage production of a weekly e-newsletter and ongoing social media postings to keep nonprofit and community members engaged and informed of CNE events and resources. 
• Ensure the website is updated and facilitate user needs, including the board dashboard and member resources and renewals. 

The Coordinator will oversee the smooth operation of the office administration, including:
• Serving as the point person for ordering and managing office supplies and operational considerations including computers and printers.
• In coordination with CNE’s Program Manager, assist in managing the internship program, including helping with orientation, training, scheduling, and project assignments. 
• Manage all on-site administrative finance duties, including invoicing, assisting with check requests, and reconciliations. This will require close coordination with CNE’s external financial service. 
• Distribute mail; scan and record checks; enter philanthropic gifts in the donor database; process standard acknowledgement letters and other donor communications. 
• Oversee event-related administrative duties, particularly as they relate to the annual Philanthropy Day luncheon and the Summer Celebration of Nonprofits.
• Work closely with the Executive Director in coordinating HR-related activities, including benefits. 

The Administrative Coordinator will support the board management and philanthropy efforts, including: 
• Assisting in preparing for board and committee meetings with meeting reminders, communications with board members, and meeting preparation. 
• Prepare materials for board orientations, retreats, and special events. 
• Maintain the board list internally (with addresses) and externally (such as on the website)
• Assist with prospect research, donor cultivation, grant preparation. 
• Maintain documents required for grant submissions, donor stewardship and cultivation pieces. This includes budgets, qualitative and quantitative outcome data and narratives, board lists, and twice-annual reports (the impact report and a smaller fall update report).
• Manage the administrative aspects of the Corporate Partners Program, including having updated introduction and welcome packages on hand, updating the website, and the on-site donor acknowledgment board. 

Skills Required

The successful candidate will bring a positive disposition, an eagerness to learn, and a willingness to take ownership of tasks both big and small. They will have exceptional verbal and written communication skills so as to be able to draft and review professional correspondence, manage telephone calls, and greet and manage walk-in visitors. The Coordinator will bring familiarity with basic office technology and confidence in her/his ability to learn what they do not already know. A keen attention to detail, strong work ethic, and unwavering commitment to ethical behavior is required. The ideal candidate will bring an awareness of how nonprofits operate.

Compensation and Benefits
This is a full-time salaried position with a salary range of $35,000 to $40,000. The Center for Nonprofit Excellence offers a robust employee benefits package, including 100% of employee health insurance coverage paid, the opportunity to participate in a 403(b), and 120 Personal Time Off hours available in the first year of employment. This role will include opportunities for professional development and growth.
