ABOUT BLUE RIDGE AREA COALITION FOR THE HOMELESS

Blue Ridge Area Coalition for the Homeless is dedicated to addressing and ending homelessness through collaborating with communities to help individuals and families achieve housing stability, financial health, and improved quality of life. To achieve this, we focus on supporting and coordinating our homeless service provider partners in their work providing direct services to individuals and families experiencing or facing homelessness. We prioritize serving the hardest-to-serve and highest-risk individuals, grounded in the Housing First approach that centers quick access to housing solutions and support. Data-driven decision-making and best practice approaches guide our initiatives. We advocate for effective community support services outside the homelessness system of care and strive to increase housing options for vulnerable individuals and families. Strong leadership, especially in fundraising, grants management, and advocacy activities, is critical to our mission. We manage an annual budget of $1.26 million in our work to end homelessness, providing funding directly to core homeless service provider partners to support their work.

We set annual system performance goals that encompass reducing overall homelessness, minimizing the time individuals spend in homelessness, facilitating successful transitions to permanent housing, preventing returns to homelessness, and supporting income growth among individuals in homeless services. We actively participate in the international Built for Zero initiative, maintaining an accurate by-name list of individuals experiencing homelessness and working towards functional ends to veteran homelessness and chronic homelessness. In May 2023, we were able to reach our community’s threshold for a functional end of veteran homelessness and are now focused on maintaining this incredible achievement moving forward. During the height of the pandemic in May 2021, we were part of a collaborative project to purchase an old motel for intermediate use as a non-congregate shelter program and site of a new, 80-unit permanent supportive housing development that will break ground in May 2024. Through our dedication to effective, data-driven interventions and practices, we aim to make a tangible difference in addressing and ending homelessness and improving the lives of those facing housing insecurity.

Position Description

The Administrative Coordinator manages administrative needs for BRACH including financial management support, homeless services program reporting, grants invoicing, website support, and other needs. These responsibilities directly contribute to the organization’s mission by helping BRACH successfully maintain finances, grants, information on homelessness, and coordination of homeless services. This position reports to the Executive Director. Together, the Administrative Coordinator and Executive Director partner to carry out the work of the organization.

Job Duties

Essential Functions

  • Financial Administrative Support
    • Record financial transactions using QuickBooks
    • Work with the Executive Director to reconcile the financial ledger on a monthly basis
    • Track and create expense reports towards program budgets

 

  • Coordinate invoicing for grant-funded homeless service programs
    • Communicate with and receive timely invoices from homeless service providers on a monthly basis
    • Prepare monthly invoices for State-funded homeless service programs on behalf of local homeless service providers
    • Ensure timely payment to BRACH-funded providers on a monthly basis

 

  • Manage data reporting using the HMIS database system
    • Prepare and submit required reports using HMIS for state-funded homeless service programs
    • Prepare monthly and quarterly system-performance reports
    • Prepare other reports as needed to provide vital insight into homeless services needs, gaps, and opportunities.

 

  • General clerical support
    • Assist in scheduling meetings among homeless and human service provider partners
    • Take notes during meetings and help provide follow-up on action steps from those meetings
    • Provide basic maintenance for the BRACH website on a monthly basis

Skills Required

Qualifications

  • Experience in administrative support roles, or equivalent experience including lived experience of homelessness or another related experience
  • Strong written and verbal communication skills
  • Strong computer skills and proficiency with Microsoft Office
  • Ability to build and maintain working relationships with partner organizations
  • Strong organizational and project management skills with attention to detail
  • Ability to work independently and within a small team setting

Preferred Skills

  • Experience working for/volunteering for homeless service organizations
  • Comfortable communicating with a wide variety of stakeholders: board members, donors, non-profit organizations, vendors, clients, volunteers, etc.
  • Knowledge and use of HMIS database system
  • Familiarity with QuickBooks accounting software

Work Schedule

Position Status: Exempt, Salaried; 40 hours/week

Position is based in Charlottesville, VA. Office located on the Downtown Mall with 3 days a week in the office required.
