HOUSING COORDINATOR JOB DESCRIPTION

Wintergreen Performing Arts, Inc. (WPA) seeks a friendly, organized candidate to coordinate housing for the Wintergreen Summer Music Festival & Academy. This position has a significant impact on the success of Wintergreen Performing Arts, and works to strengthen our community of musicians, students, patrons, volunteers, and donors.

Job Title: Housing Coordinator

Job type: Part-Time, seasonal (approx. April-September), contracted position. While remote work is possible, applicant should live within an hour of Nellysford, VA.

Responsibilities for Housing Coordinator:

April (or earlier) – June (Part-Time basis)

• Secure volunteer and paid housing for use during the Wintergreen Summer Music Festival and Academy.
• Manage timeline of housing progress, coordinating with WPA staff, board, and volunteers.
• Create check-in/check-out procedures.
• Additional administrative tasks as reasonably assigned

During the Festival & Academy (July – August)

• Implement housing check-in/check-out process, coordinating with volunteers as needed.
• Hold, distribute, and collect keys for housing units.
• Work with volunteers to arrange for inspection of properties before/after visits.
• Arrange for cleaning needs as needed.
• Coordinate with Dean of Students on management of student housing needs.
• Maintain volunteer and rental housing records.
• Coordinate with staff to ensure smooth transition of end of Festival cleaning needs.

After the Festival & Academy

• Coordinate with staff for musician and volunteer survey follow up after Festival.
• Update records, send thank you letters

Requirements/Qualifications:

WPA is seeking a positive, organized person with the ability to multi-task. This person must maintain professional and positive communications, must be flexible to changing circumstances and have fluency in technology. This position reports to the Artistic Director and Executive Director.

The candidate should demonstrate the following:

• Project planning and time management skills
• Detail-oriented focus with ability to multi-task
• Professional written and verbal communication skills
• Computer skills, including Office, Skype, and Google Drive
• Ability to think creatively and manage shifting priorities
• Have a friendly demeanor with the ability to work in a fast-paced, creative, and evolving environment
• Be a team player open to supporting colleagues in other duties as needed

While residency in the Wintergreen area is not required, knowledge of the area is highly valued.

Wintergreen Performing Arts is located in Wintergreen, Virginia, in the Blue Ridge Mountains, about 40 miles southwest of Charlottesville, Virginia. The Housing Coordinator may work remotely and onsite to reflect the seasonal requirements of the job. Applicant must have a car, valid driver’s license, and personal technology (phone and laptop). In addition, as the position works indirectly with students, the successful candidate will submit to and pass a background check.

Compensation and Benefits:

Contract position – commensurate with experience. Potential housing during the Festival (July – August), free unlimited use of the Aquatics and Fitness Center, and free admission to Festival events are provided during the Festival.

Organization Description:

Located in Virginia’s Blue Ridge Mountains, Wintergreen Performing Arts, Inc. is a nonprofit organization that produces a high-quality summer music festival featuring symphonic and chamber concerts, as well as other performing arts programs throughout the year. Education is a major part of its mission, reflected both in the Wintergreen Summer Music Academy and in outreach programs for those living in the surrounding area. By attracting first-rate musicians to participate as performers and educators, Wintergreen Performing Arts strives to enrich the lives of all–residents and visitors alike–who share the unique Wintergreen experience.

The WSMF presents a core of fully professional musicians and guest artists who perform orchestra, chamber, and solo music. Many of the musicians are teaching artists who teach in the Academy, a program for advanced student instrumentalists, vocalists, conductors, composers, and budding arts administrators. With six programs, the Academy serves around 60 students each summer. In addition to the core of classical music, WSMF presents jazz, bluegrass, and popular concerts as well as interactive, audience participation opportunities and daily seminars. Number of events each summer range from 175 to 200. Since its inception, WPA has relied proudly and heavily on an ever-growing core of volunteers to accomplish the feat of running a Festival and Academy. In addition, the local and semi-local community generously supports WPA financially. The annual budget is approximately $800,000, including substantial contributions of housing for the musicians and students during the Festival.
